Quotes & invoicing

Price it right.
Bill it right.

Build rate plans that match how you actually charge — per km, per hour, per day or point to point, with minimums, surcharges and seasons. Quotations price themselves, customers accept them online in their own language, and invoices go out with the VAT worked out — even when the trip crosses borders.

Why it matters

Every quote from the same rules. Every invoice from the job that ran.

Prices worked out in someone's head drift from customer to customer, and invoices typed from memory miss the waiting time and the tolls. Transitour prices from your rate plans and invoices from the booking — extras, receipts and all.

What you get
01

Rate plans that fit

Fixed, hourly, per km or mile, daily or point-to-point grids. Base fares, minimum charges, surcharges, discounts and waiting time — conditioned by day, time, distance, group size, season and vehicle type.

02

Quotes with options

Offer alternatives and several journeys on one quotation, with an expiry date. The customer opens it online in their language and accepts or declines line by line.

03

Contracts and customer tariffs

School, corporate, event and agency contracts each carry their own default rate plan, with billing departments per customer.

04

Invoice from the job

Batch-generate invoices grouped by customer with approved extras included. Proformas and credit notes in their own series, and every issued document frozen exactly as issued.

05

Cross-border VAT, split for you

On international trips the transport charge is split into one line per country by the kilometres driven there — from the planned route or the GPS trace — and a person confirms the split.

06

Know your margins

Costs for drivers, fuel, vehicles, subcontracting and overheads, with a margin report that shows what's holding it back — plus revenue, VAT and fleet reports.

Questions

Straight answers.

01

Which currencies can we invoice in?

Each company and each rate plan has its own currency — euro, pound sterling, Swiss franc, US dollar and others — with a bank account per currency on the invoice.

02

How does the cross-border VAT split work?

Under EU rules, passenger transport is taxed in each country in proportion to the distance covered there (Article 48 of the VAT Directive). Switch it on and Transitour splits the transport charge by kilometres per country from the planned route or the recorded GPS trace, applies each country's rule and gives you a VAT report by country. Rules come pre-filled for the Netherlands, Germany, Spain, France, Belgium, Luxembourg, Austria and Italy — have your tax adviser confirm them.

03

Can Transitour issue the legal invoice in our country?

Transitour issues invoices itself in several countries, including Switzerland, Spain, Germany, the United Kingdom and Ireland. Elsewhere — or if you prefer — choose “My accounting system”: Transitour prepares the billing and your accounting software issues the invoice.

04

What happens to the extras drivers log?

Waiting time, tolls and parking arrive from the driver app with receipt photos. The office reviews them, and approved extras are added to the invoice.
